Medical Aid

An employee can belong to Company Medical Aid or Private Medical Aid. An employee can be linked to only one type of Medical Aid at any time.

In the case of Company Medical Aid, the employee and/or company contributions towards the Medical Aid are administered by the company and all contributions are shown on the employee’s payslip.

In the case of Private Medical Aid, the company is not responsible for administering contributions. Payments towards the Medical Aid are made by the employee. The employee may however, request to receive the tax benefit on these contributions.

Previously, Company Medical Aid was set up under Company…Setup benefit funds and Private Medical Aid was set up on the Benefits tab.
Now, Medical Aid (Company or Private) is set up on the Medical Aid tab.

Follow these steps to add Medical Aid (Company or Private):

  • 1. Go to Employee…Employee Details and click the Medical Aid tab. Alternatively, go to Payroll…Medical Aid and click the Medical Aid tab.
  • 2. Select the type of Medical Aid in Type of medical aid.
  • 3. Enter the number of beneficiaries (main member and dependants) in Beneficiaries (Main member & Dependants).
  • 4. Select the frequency in the Frequency dropdown for non-monthly cycles.
  • 5. Add the contribution amount in the relevant contribution fields, depending on the type of Medical Aid you selected. In a non-monthly cycle, add the contribution per frequency.

In a monthly cycle on an existing Medical Aid, the following contribution fields are always editable:

  • 1. Type of Medical Aid.
  • 2. Number of beneficiaries.
  • 3. Private contribution values or employee and company contributions values, depending on the type of Medical Aid.
  • 4. Private contribution adjustment values or employee and company contribution adjustment values, depending on the type of Medical Aid.

In a non-monthly cycle on an existing Medical Aid, the Frequency field is editable in the first period of a month only.
The following contribution fields however are editable every week:

  • 1. Type of Medical Aid.
  • 2. Private contribution per frequency values or employee and/or company contributions per frequency values, depending on the type of Medical Aid.
  • 3. Private contribution adjustment values or employee and company contribution adjustment values, depending on the type of Medical Aid.

Month-to-date totals indicate the total Medical Aid contributions and Medical Aid Tax Credits for the month according to the week(s) in the month.

Selecting None for Medical Aid Type stops any existing Medical Aid.

Changing Beneficiaries (Main member & Dependants) impacts the tax calculation. Always ensure that the beneficiary count is correct.
