Creating a bureau

A bureau is an external service provider that specialises in payroll processing. A bureau will log into Sage One Payroll with your login details to process the payroll.

The employer sends the bureau each employee’s details, and details of the current pay requirements. The bureau then processes this information to pay the employees.

The payroll supplier will provide the employer with payroll calculations, taxation reports, employee pay advices, as well as personnel, leave and superannuation reports.

The Bureau information will only be required when one or more companies have selected that a company makes use of the Bureau services. This is done on the Company Detail view, Statutory Information section.

After a Company has checked the above option, you can create your bureau by clicking on Maintenance…Bureau.

The screen below will display when you create a new bureau:

The Bureau Detail screen has the following accordions (tabs):

  • Statutory Information
  • Contact Details
  • Banking Details
  • Company Address
  • Postal Address

The Progress Indicator:

The progress indicator will show you links of all the mandatory information that must be entered in the Bureau Section.

Click on the actions in the action list to enter the information. As soon as the information is entered, the progress indicator percentage will move up until it reaches 100%.

Statutory Information accordion

Click on the Statutory Information accordion. The following screen will be displayed:

Field Explanation
Bureau Name This is the name of the bureau that you are creating.
Trading Name If the bureau is trading under a different name, enter the trading name of the company (Bureau) in this field.
Company TIN Number Enter the Company Tax Identification Number (TIN) in this field.
Pension Employer Code Enter the company’s pension employer number in this field.
NHF Number Enter the company’s NHF number in this field.
NHIS Code Enter the company’s NHIS code in this field.
NSITF Number Enter the company’s NSITF number in this field.
Pension PFA Code Enter the company’s pension PFA code in this field.
Development Levy Enter the company’s Development Levy number in this field.
Registration Number Enter the company’s registration number in this field.

Contact Details accordion

Click on the Contact Details accordion. The following screen will be displayed:

Field Explanation
Contact Person Name Enter the name of the contact person of the bureau.
Contact Person Surname Enter the surname of the contact person of the bureau.
Contact Telephone Number Enter the telephone number of the contact person of the bureau.
Contact Email Address Enter the email address of the contact person of the bureau.
Contact Fax Number Enter the fax number of the bureau.

Banking Details accordion

Click on the Banking Details accordion. The following screen will be displayed:

Field Explanation
Branch code The branch code is a nine-digit number that identifies banks and branches in Nigeria. Enter a description to search for a branch code, then select from the drop down menu.
Bank name If you selected your Branch code, the Bank Name field will automatically be entered.
Account Name Enter the bureau bank account name in this field.
Account Number Enter the bureau bank account number in this field.

Company Address accordion

Click on the Company Address accordion. The following screen will be displayed:

Field Explanation
Address Line 1 Enter the bureau’s physical address in this field.
Address Line 2 – 4 If the bureau has more than one address line, enter the additional lines in the Address Lines 2 – 4.
Suburb Enter the suburb where the bureau is situated.
City Enter the city where the bureau is situated.
Country Select the country where the bureau is situated.
State Select the state within the country where the bureau is situated.
Postcode Enter the postcode where the bureau is situated.

Postal Address accordion

Click on the Postal Address accordion. The following screen will be displayed:

Field Explanation
Same as above Check this check box if the Postal Address is the same as the Physical Company Address.
Address Line 1 Enter the bureau’s postal address in this field.
Address Line 2 – 4 If the bureau has more than one address line, enter the additional lines in the Address Lines 2 – 4.
Suburb Enter the suburb where the bureau is situated.
City Enter the city where the bureau is situated.
Country Select the country where the bureau is situated.
State Select the state within the country where the bureau is situated.
Postcode Enter the postcode where the bureau is situated.

You will notice that once all the fields are entered and selected, your progress indicator will display 100%.

Click on the Save button to save the bureau that you created.
